Terms of Service

In these Terms, the following definitions apply:

• “Order” means a request for Services placed through our Site and accepted by us.
• “Services” means the certified translation services we provide.
• “Site” means visadoctranslation.co.uk and any related subdomains.
• “Working Day” means any day other than a Saturday, Sunday, or public holiday in England.

These Terms apply to all Orders. By placing an Order you confirm that you have read, understood, and accepted these Terms. They supersede any prior agreements, representations, or understandings between you and us in relation to the Services.

We provide certified translation services from over 120 source languages into English (and selected reverse pairs), with outputs accepted by UKVI, the Home Office, HMCTS, UK universities, and other UK institutions. Each certified translation includes a signed statement of accuracy with translator credentials. Standard delivery is 24 hours from payment; express delivery options are available where indicated.

You may place an Order by uploading your document(s), selecting your delivery option, and submitting payment through our Site. An Order is accepted only when we send you a written confirmation by email. We reserve the right to refuse any Order, including where documents are illegible, where we cannot lawfully translate the content, or where we suspect fraud.

All prices are displayed on the Site and include VAT where applicable. Full payment is required at the time of Order; we accept payment by major debit and credit cards through Stripe. We do not store full payment card details on our servers. Prices may change from time to time but the price applicable to your Order is the one shown at checkout.

Translations are delivered electronically by email to the address you provide at checkout. Delivery timeframes begin when we confirm receipt of payment and a complete, legible document. We are not liable for delays caused by illegible source documents, incorrect contact details, technical issues outside our control, or events of force majeure.

We exercise reasonable skill and care in producing accurate translations that meet the standards of UKVI and other accepting bodies. However, we cannot guarantee that any particular institution will accept a translation, as acceptance is at the discretion of the receiving body. You are responsible for reviewing each translation before submission and informing us of any concerns within 30 days of delivery.

You agree that you will:

• Provide clear, complete, and legible source documents.
• Confirm that you have the legal right to share the documents with us for translation.
• Not use the Services for any unlawful, fraudulent, or misleading purpose.
• Review each completed translation before submitting it to a third party.
• Provide accurate contact and billing details.

You retain all rights in your original documents. We retain all rights in the certification format, translation methodology, and any templates we develop. On payment in full you receive a non-exclusive, worldwide licence to use the certified translation we deliver for the lawful purposes for which it was commissioned.

We treat your documents and personal data as confidential and use them only to deliver the Services. We do not disclose them to third parties except: to our sub-processors (see our Privacy Policy), where required by law, or with your express consent. Source and translated documents are securely deleted from our active systems 90 days after Order completion unless you request earlier deletion or we are legally required to retain them for longer.

You may cancel an Order at any time before translation work begins for a full refund. Once translation work has started, cancellation is not generally available, but we will issue a full or partial refund where:

• delivery has failed and cannot be re-attempted;
• the translation contains material errors that render it unusable for its stated purpose; or
• we are otherwise unable to deliver the Services we agreed to provide.

Refund requests must be raised within 30 days of delivery by emailing [email protected].

Nothing in these Terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for any other liability that cannot lawfully be excluded.

Subject to the above, our total liability to you in connection with any Order shall not exceed the amount you paid for that Order. We are not liable for indirect or consequential losses, including but not limited to loss of profit, loss of business, loss of opportunity, or losses arising from the outcome of any visa, immigration, or other application.

You agree to indemnify and hold us harmless from and against any claims, losses, damages, or costs (including reasonable legal fees) arising from your breach of these Terms, your misuse of the Services, the content of documents you submit, or your violation of any law.

Our processing of your personal data is governed by our Privacy Policy and complies with the UK GDPR and the Data Protection Act 2018. By placing an Order you confirm that you have the right to share with us any personal data contained in your documents.

We are not liable for any failure or delay in performing our obligations where such failure or delay results from events outside our reasonable control, including but not limited to acts of God, natural disasters, war, terrorism, pandemics, strikes, internet or infrastructure failures, or actions of government or regulatory authorities.

We may suspend or terminate your access to the Services immediately if you breach these Terms, if we suspect fraud or illegal use, or if we are required to do so by law. Termination does not affect any rights or obligations that have already accrued.

We may update these Terms from time to time. The current version will always be posted here with an updated effective date. Continued use of the Site or placing a new Order after changes are posted constitutes acceptance of the updated Terms.

If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions will continue in full force and effect.

Our failure to enforce any right under these Terms is not a waiver of that right and does not prevent us from enforcing that right in the future.

These Terms, together with our Privacy Policy and Cookie Policy, constitute the entire agreement between you and us in relation to the Services and supersede any prior agreements or understandings.

These Terms do not create any rights enforceable by any person who is not a party to them under the Contracts (Rights of Third Parties) Act 1999.

These Terms and any dispute or claim arising out of or in connection with them are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction to settle any such dispute or claim.
