Universities & Evaluators

Certified Diploma and Transcript Translation for the US

Complete English translations of foreign degrees, diplomas and academic transcripts for US universities, credential evaluators and employment-based USCIS petitions.

A diploma and transcript translation for the US is usually the first step in getting a foreign qualification recognized, whether you're applying to a US university, having your degree evaluated for an H-1B or green card petition, or applying for a professional license. VisaDocTranslation translates degree certificates, transcripts and grade reports in full, with the translator's signed certification, for $20.39 per page by the next working day.

One point saves a lot of confusion: translation and credential evaluation are separate jobs. We put your documents into English; a credential evaluation service then decides what they're equivalent to in the US system. Many employment cases need both, plus employment letters to document work experience.

Do I need a certified translation of my diploma for USCIS?

Yes, if it isn't in English. Any foreign-language diploma or transcript filed with USCIS, for example with an H-1B petition or an employment-based I-140, needs a full English translation with the translator's certification of accuracy and competence under 8 CFR 103.2(b)(3).

Degrees matter in employment cases because the visa category often depends on them. An H-1B specialty occupation generally needs a US bachelor's degree or a foreign equivalent; the EB-2 advanced degree category needs a master's or a bachelor's followed by five years of progressive experience; EB-3 professionals need a bachelor's. USCIS reads the translated diploma and transcript alongside an evaluation of what the qualification is equivalent to.

The translation itself follows the same rule as any other USCIS document: complete, certified and nothing summarized. That includes the university seal, the registrar's signature block and the small print on the back that nobody reads until an officer does.

Is a credential evaluation the same as a translation?

No. A translation renders your documents into English, while a credential evaluation, done by a private evaluation service, assesses what your foreign qualification is equivalent to in the US education system. Evaluators work from the original documents and, if those aren't in English, from a translation.

Evaluations come in different depths: a document-by-document evaluation states the US equivalent of each qualification, while a course-by-course evaluation also converts individual subjects, credits and grades, which universities and licensing boards often need. Each evaluation service sets its own rules about translations, and some require transcripts to be sent directly by your university. Check your evaluator's translation policy before you order, so the translation arrives in the format they accept.

We translate grades exactly as they're written: a Spanish "Sobresaliente (9.5)" stays a Sobresaliente with its 9.5, in English. Deciding whether that's an A is the evaluator's job, and frankly they seem to enjoy it more than we would.

Which academic documents should I translate for a US university?

Usually the degree certificate or diploma and the full academic transcript or mark sheets for each qualification, plus any grading scale printed on the documents. The university's admissions page or the evaluation service will say exactly what they need.

Transcripts are where the detail lives: course titles, hours or credits, grades, the grading scale and sometimes a final class or rank. We translate course names faithfully rather than renaming them to sound like US courses, and we keep the original grading notation so nothing is lost in conversion. Any legend on the back explaining the grading system is translated too, because evaluators rely on it.

For graduate admissions, US universities may also ask for proof of degree completion, a provisional certificate or a thesis approval. If a document has a ministry stamp or an apostille on it, we translate that as part of the document.

  • Degree certificates and diplomas, including provisional certificates
  • Full transcripts, mark sheets and grade reports
  • Grading scale legends and explanatory notes on the reverse
  • Secondary school certificates and national exam results
  • Professional qualifications and training certificates

Can work experience replace a degree for an H-1B?

For H-1B purposes, USCIS can recognize work experience as a substitute for university study, generally at three years of specialized experience for each year of missing education. That experience has to be documented, usually with letters from employers.

This is where academic records and employment documents meet. An evaluator or expert who assesses combined education and experience will look at your transcripts and at detailed experience letters, so both need to be translated if they aren't in English. Our page on payslip and employment letter translation covers what USCIS expects to see in those letters.

Whether this route fits your case is a question for your attorney or employer. Our part is making sure every relevant document reads cleanly in English, with job titles, dates and course names translated consistently across the set.

How much does a diploma and transcript translation cost?

$20.39 per page with delivery by the next working day, or $40.08 per page for rush delivery within 8 hours. A diploma is usually one page; transcripts vary with the length of the program.

Upload all your academic documents together on the quote form and you'll see the page count and total before you pay. Every document includes 2 free revisions, which is handy if an evaluator prefers a particular term for your degree title.

Universities and licensing boards occasionally ask for notarized translations, even though USCIS doesn't. If yours does, add notarization at checkout for $26.45 per document; it's for US use only and uses standard delivery. Applying for a visa as well? Your passport or ID may need translating too, and our USCIS translation page sets out the general rules.

Frequently Asked Questions About Diploma & Transcript Translation for the US

Do you provide credential evaluations?

No. We provide certified translations. Credential evaluation is done by separate evaluation services, which assess your qualification's US equivalent using the original documents and, where needed, a translation.

Will WES or ECE accept your translation?

Each evaluation service sets its own translation policy, and some require documents to be sent directly by the issuing institution. Check your evaluator's current rules before you order so the translation matches what they accept.

Do you convert my grades to the US GPA scale?

No. We translate grades exactly as they appear on the original. Converting them to a US scale is part of the credential evaluation, not the translation.

Do you translate the back of the transcript?

Yes. Grading scales, legends and notes on the reverse are part of the document and are translated in full.

Does USCIS require a notarized diploma translation?

No. USCIS accepts a certified translation. Some universities or licensing boards may ask for notarization, which you can add at checkout for $26.45 per document.

Can I use the same translation for a university and an H-1B petition?

Usually, yes. A certified translation of a document is the same whoever receives it, but check whether a particular university or evaluator has its own format requirements.

How do you translate course names that have no US equivalent?

We translate them faithfully, keeping their meaning rather than substituting a US course title. Where helpful, we add a short translator's note.

How long does a transcript translation take?

Standard delivery is by the next working day and rush delivery is within 8 hours. Longer transcripts are quoted per page and you see the total before paying.
